What materials do I need to submit for my reclassification request?

  • Reclassification application (AFT professional staff) or DPF 44 (classified staff).
  • Current and newly proposed (if relevant) organization chart.
  • Current and newly proposed job descriptions.
    • Newly proposed job description should model what is on the reclassification application/DPF 44.
  • Examples of work to support reclassification request
    • Should be providing the desk audit portion of the reclassification process (will be requested by HR member).

What is a desk audit?

The desk audit portion of the reclassification process is an informal meeting between the HR representative, the employee, and the immediate manager of the employee. There are instances due to scheduling in which the HR representative will meet with the employee and manager separately. The desk audit allows the employee to verbally discuss their reclassification request, the job duties in which they are currently completing and will be completing if the reclassification is granted, and any examples of work. The desk audit will be scheduled upon submission of the reclassification application/DPF 44.

What are examples of work that I should be providing for my reclassification?

Examples of work may include:

  • A written justification/rationale (especially in the case that the employee wants to elaborate more than the room that is allotted on the reclassification form).
  • Tangible examples of current and newly proposed/additional job duties. Please note – not all of these examples of work will be relevant to every position; they are simply ideas of examples of work that would be helpful to submit.
    • Emails
    • Budgetary work (purchase orders, requisitions, etc.)
    • Contract maintenance/oversight
    • Reporting (not only generating reports, but creating, executing, analyzing, and drawing conclusions from the reports that have been generated)
    • Oversight of specific sections and/or programs within the unit
    • Supervision of full-time, professional staff employees
    • Independent/autonomous decision-making and critical thinking
    • Development/implementation of training materials
    • Advisement/counseling to students, parents, alumni, and/or community members
    • Reviewal/approval of applications & eligibility for college programs
    • Maintenance of records/files
    • Planning and supervision of program events
    • Development of materials for publication

Who completes the application?

Staff Member: Any staff member that is a part of the CWA and/or AFT bargaining unit.

Immediate Supervisor: The supervisory management-level employee not included in the State College/University negotiating unit who has primary responsibility for assigning and supervising the Staff’s work. This applies to permanent and/or interim supervisors.

Subsequent Evaluators: The manager(s) identified as being responsible for the Staff's work in addition to the identified Immediate Supervisor. This may include a secondary Associate Director, Director or an Executive Director, Assistant Vice-President, or another supervisor at a similar level.

What if my supervisor is not in agreement with my reclassification submission?

Per guidelines, the employee has a right to submit a request for reclassification. However, the application/DPF 44 does need to be signed and dated by the supervisor prior to submission. If the supervisor is not in agreement with the employee’s reclassification request, they cannot deny the employee their right to submit. But the manager must sign and date the form, as well as provide their rationale stating why they are in disagreement.
